Reservation Policies

The following policies pertain to reserving the Falcon Center & Coelbank Hall:

  1. External reservations will be made by contacting 304-367-4950 or 304-367-4783. 
  2. Internal reservations by faculty and staff, and registered student groups only are to be submitted by contacting 304-333-3777.  
  3. We request all set-up, use of interpreters and audio-visual needs by internal departments and student groups to be determined when making the reservation. Contact Cathy Basagic at 367-4090 for catering. Faculty/staff will be asked to provide a procurement card (4-digit code); there is no charge for registered student organizations in certain locations but there is a charge when using the conference center. The student reserving space will need to give their name as well as their advisor’s name when submitting a request. 
  4. You will be notified by e-mail only when your reservation has been completed and confirmed. 
  5. Prices are located on the Falcon Center Website under Reservations.  Prices are per day or partial depending on the facility requested; if you request an additional day for set-up needs, billing will be adjusted for the extra time.  
  6. All reservations need to take place during the Falcon Center building hours (including Colebank gym).  Refer to building hours on the website.  If your event requires access before or after open or closing times, a staff member will be provided for an additional fee. 
  7. Reservations must be submitted a minimum of two working days before the date of the event, and will be taken no more than 1 year in advance, and will be done on a first come-first serve basis.  No "holding" of space will be done.  
  8. Reservations are subject to change with booking of external conference events. The internal group or individual reserving the space will be notified 2 weeks in advance of a change in venue. 
  9. If any of the furniture is damaged upon arrival, report the damage immediately to Robin Yeager, 367-4783 so the furniture can be removed.  If it is determined that any damages to furniture or the facility occurred during the reservation, the registered group will be responsible for all costs incurred for repairs. 
  10. We request a 48 hour cancellation notice; if the reservation is cancelled in less than 48 hours, the customer will incur the full cost of the reservation.
